The 2025 Ren Faire will only be a one weekend event.
Due to the rising inflation, and the need to change venues, we have found a need to raise the vendor pricing structure. We are still dedicated to keeping vendor pricing as small as we can make it, but pricing needs to be raised.
For transparency purposes the way we price vendors is based off the theory that we must be able to pay for the venue, insurance, utilities (such as restrooms), security and all other venue specific needs solely off of the vendors.
After reviewing all of the costs and needs of the event we have determined that a 50% price increase is required. Additionally, the food vendor needs have shifted. Previously food vendors have been a flat $200.00 fee, and Expo Idaho required 20% of food vendor sales on top of that. Caldwell Events Center does not. The CEC only requires an up front $100.00 fee be paid for each food vendor. What we have decided to do because of this is change our food vendor pricing structure. We will be charging food vendors the same price as any merchant vendor based on the size of their area, we will then be adding the $100.00 fee required by Caldwell Events Center. With that being said the pricing structure is as follows:
Vendor Passes will follow the same structure regardless of a concessions vendor or otherwise. Any children under the age of 14 will require an extra $5.00 per pass, and will need to be noted on the application. Any passes needed for workers over the allotted amount will also be at $5.00 per person.
A vendor who does not have a set space but travels throughout the faire selling items that they carry. They may have a cart, a staff, or simply carry the items on themselves. Price includes 1 pass.
This is the base price for a 10X10 popup tent or equivalent medieval canvas tent. Comes with 2 passes.
This will hold two 10X10 popup tents, or 1 10X20 popup tent, or equivalent medieval canvas tent/shade. Comes with 3 passes.
This will hold 4 10X10 popup tents, or 2 10X20 popup tents, or 1 20X20 popup tent, or equivalent medieval canvas tent. Comes with 4 passes. Fire Extinguisher required to be in space.
Start with a 10X10 and add 75 dollars for each 10X10 space added to it. The 1st 10X10 includes 2 passes, each additional 10X10 adds one pass. If an unconventional shape it must be notated in the notes and a diagram emailed to vendors@idahorenfair.org
These are who have exceptionally large spaces or have an arena wherein fights, weaponry, or carnival games are held. If there is a merch booth attached the size of the merch booth should be added from the price list above. If there is an admission fee to the arena, or a price to play the game the cost of the sq footage shall be negated and 10% of the game sales shall be charged at the end of the event instead. Notate the cost to enter the arena or play the game in the notes section of the app

This is for concessions sales, any vendor who sells food or drink that is intended to be consumed onsite is considered a concessions vendor
Caldwell Events Center Requires a $100.00 fee be paid up front.
Vendor passes will follow the same structure as merchant vendors.
Camping onsite is allowed at Gabiola Fields
Sleeping inside your vending booth/encampment.
